Chalan Foundation is committed to safeguarding the welfare, dignity, and rights of all children and young people we serve. We believe every child, regardless of gender, ability, ethnicity, or background, has the right to protection from abuse, exploitation, and neglect.


2. Purpose of the Policy

This policy outlines the principles and procedures that guide Chalan Foundation in ensuring the safety and well-being of children involved in our programs, staff conduct, and partnerships.


3. Scope

This policy applies to:

  • All Chalan Foundation staff (permanent, temporary, and volunteers)
  • Contractors, consultants, and partners
  • Donors or visitors who interact with children
  • Any activity conducted by or on behalf of Chalan Foundation

4. Definitions

  • Child: Any person under the age of 18
  • Abuse: Includes physical, sexual, emotional abuse or neglect
  • Safeguarding: Actions taken to protect children from harm and to promote their well-being

5. Guiding Principles

  • Best Interest of the Child: The child’s welfare is our top priority
  • Zero Tolerance: We have zero tolerance for child abuse in any form
  • Accountability: All stakeholders are responsible for upholding this policy
  • Confidentiality: Allegations are treated with respect, privacy, and urgency

6. Preventative Measures

  • Background checks for all staff and volunteers working with children
  • Mandatory safeguarding training during onboarding
  • Code of Conduct clearly outlining expected behavior
  • Designated Child Protection Officer

7. Reporting and Response Procedures

  • Reporting: Any concern or suspicion must be reported immediately to the Child Protection Officer or supervisor
  • Confidentiality: Information will be shared on a need-to-know basis only
  • Investigation: Swift, fair, and independent investigations will be conducted
  • Action: Disciplinary measures, up to and including termination and legal referral, will apply in confirmed cases

8. Roles and Responsibilities

  • Staff & Volunteers: Report concerns, attend training, uphold the Code of Conduct
  • Child Protection Officer (CPO): Lead investigations, ensure compliance, liaise with authorities
  • Board of Directors: Provide oversight, approve policy revisions

9. Communications and Media Use

  • Parental/guardian consent is required for the use of children’s images or stories
  • Children must not be identified by full name or location in public media without consent

10. Monitoring and Review

The Child Protection Policy will be reviewed every 2 years or after any incident, and updated to reflect best practices and legal requirements.
